Episode 3: Zoom’s In Meeting Controls

Because this is a demo, you’ll probably need to watch the video for the full experience. Here is a list of what is covered.


Waiting Rooms

This feature on zoom allows the meeting host to control when participants join the meeting. You can meet with one person while another waits and then allow the person that is waiting to join the meeting.


Audio Settings

This will take you into your app settings to see the volume of the speaker and adjusting it accordingly and the microphone settings as well. There are bullets below that you can check off like:

  • Automatically join audio by computer when joining a meeting.
  • Mute my microphone when joining a meeting.
  • Press and hold SPACE key to temporarily unmute yourself.
  • Sync buttons on headset.

Virtual backgrounds

You can add them without using a green screen. The backgrounds can be used that are already downloaded or you can create your own by adding a picture of your own virtual background. You may also add video as your background, and it is not limited to the size of the video.


Security settings

The security settings on zoom will be located on your toolbar down at the bottom. This is a recent update that was added to zoom where you can lock your meetings this allows you to lock the meeting so others cannot join once everyone is present. You can also enable waiting rooms and allow participants to: share screens, chat and rename themselves. In the security settings you may also remove a participant from the meeting or report someone.


Participants

You can manage these settings on your toolbar at the end of the screen you can: mute participants on entry, allow participants to unmute themselves, participants can rename themselves, play enter/exit chime, enable waiting room and lock meetings.


Non-Verbal Feedback

The non-verbal feedback can be found in the chat on the toolbar this setting has to be turned on. This tool bar will pop up on your chat and you can send notes to the speaker. The notes are yes, no, go slower, go faster. These notes can be sent publicly to all participants and to the speaker without having to interrupt them.


Controls For Hosts

If you are the host of the meeting, you can click on the chat bar and click on the person and control their settings. This is where you can personally chat with the person, ask them to start their video if they do not have video on. This is also where you can make them a host, co-host, rename them or put them back into the waiting room. If you place someone in the waiting room that will take them off the call temporarily. You then can invite them back into the meeting. If you remove them from the meeting, then they will have to be invited back in order to re-join the meeting.


Chat bar

If you have the chat opened on the right-hand side of your screen at the left-hand corner where the carrot drops down, you can choose to either close the chat or create a pop out for the chat. In the chat bar you can also share files and save the chats from the meeting, so you don’t loose files once the meeting has ended. You can pull files from your OneDrive, Google Drive or from your computer.


Record

This is where you can record a meeting either on your computer or to the cloud. Local recording you can go into your setting and “choose a location” for that recorded file to go into when the meeting ends. You can record to the zoom cloud and share out those recordings as links, private or public. If you are planning on saving several recordings you can look at a third-party site to save these videos like Wistia, Steam, YouTube, etc. to hold those recordings and better organize them.


Share Screen

This is in the middle of your tool bar located at the bottom of your screen. With share screen you have some basic and advanced settings. If you work with multiple screens you can choose which screen you would like to share, you can also go to the advanced settings and chose which part of your screen you want to share if there is only a small portion that you want to share with others. Sharing a whiteboard on zoom is where you and other participants can share a virtual whiteboard to write and share ideas. All participants can use it. In the advanced settings you also can share music or computer sounds with others. Also, if you are sharing a screen make sure to share your computer sound with others so they can hear you throughout the presentation.


Annotate

This feature can allow you to put spotlights on your cursor for others to see and it. This also has a text feature, draw and stamp feature to further collaborate in meetings. The stamp feature can be used to highlight features on a presentation that you would want more collaboration on. This feature is not permanently adding the features to the document and you can clear them in the annotation bar as well. You also have the option to save the annotations on the presentation for further use.


Polls

This is use in larger groups and will only work with a pro license to zoom. You can create a poll by clicking on “add a question”. You can change whether you want it to be a single choice or a multiple-choice question. You can do polls in on the fly or you can add polls prior to the meeting. You can download a report of the poll for the meeting, when you go into your zoom account you will be able to see who answered what.


Breakout rooms

Breakout rooms allow you to split your zoom meeting in up to 50 separate sessions. The meeting host can choose to split the participants of the meeting into these sperate session automatically or manually and can switch between sessions at any time.
